Does Your Business Actually Need AI? A Skeptic's Checklist

Every week there's a new headline about AI transforming small business. Most of it is noise aimed at selling a platform subscription, not solving an actual problem you have. Here's a more useful question to start with: what is the specific task costing you time or money right now?

If you can't answer that in one sentence, you're not ready to buy anything, AI or otherwise. If you can, run it through this checklist.

1. Is the task repetitive and well-defined?

AI (and automation generally) is good at tasks that follow a predictable pattern: answering common questions, moving data between two systems, drafting a first pass at a routine document, summarizing information you already have. It's bad at tasks that require judgment, relationship context, or a decision only you should be making.

If the task you're thinking about is "answer the phone when we're out on a job," that's well-defined and repetitive. If it's "decide which leads are worth chasing," that still needs a person, at least for now.

2. Does the volume justify it?

If a task takes you ten minutes a week, no automation project pays for itself fast enough to matter. If it's ten minutes a day, or worse, ten missed opportunities a week, the math changes fast. We ask about volume on every free phone evaluation before recommending anything, because the honest answer is sometimes "this isn't worth fixing yet."

3. Have you already tried the boring fix?

Sometimes a process problem isn't an AI problem. A missed handoff between two employees might be solved by a shared checklist, not software. We'd rather tell you that than sell you a project you don't need. Our workflow automation work always starts with mapping the actual process before recommending any tooling.

4. Do you have the underlying data?

AI dashboards and reporting tools are only as good as the data feeding them. If your records are scattered across three disconnected systems and half of them are out of date, no amount of AI will fix that on its own, you need systems integration or a data cleanup first.

5. Are you solving for volume, not judgment?

The clearest wins we see are in high-volume, low-judgment interactions: phone calls that just need routing and basic information gathering, follow-up emails that follow a known pattern, appointment reminders.
